The Senior Compensation & Retirement Analyst will serve as the lead expert on executive compensation, equity awards and retirement plans. This role will be responsible for the management and execution of equity awards including Restricted Stock Units, Performance Share awards and Phantom Stock Unit awards. This role is also responsible for the Retirement Plans including 401(k), Pension, Deferred Compensation Plan, SERP and Health Savings Accounts.
The ideal candidate will be a team player who is organized and must have outstanding customer service and excellent communication skills. Additionally, we are looking for someone who can perform the role with a high level of accuracy and takes pride in delivering high quality service in a timely manner.
This is a hybrid position, based in either our Indianapolis (WTHR), IN or Tysons, VA office, with a required in-office presence 3 days per week.
Responsibilities:
Executive Compensation & Equity
- Be the subject matter expert regarding the long-term incentive/equity programs including Restricted Stock Units, Performance Share awards and Phantom Stock Unit awards.
- Perform analysis and forecasting of financial and business information to assist in the design of executive compensation programs.
- Manage relationships with administrators to ensure proper execution of annual and monthly awards and vesting long-term incentive programs.
- Produce and coordinate communication and education related to the award plans.
- Identify opportunities for process and system improvements within day-to-day activities.
- Prepare materials for the Leadership Development and Compensation Committee (LDCC) meetings.
- Produce proxy data on an annual basis.
- Update compensation policies and procedures in coordination with counterparts in Legal, Tax, Finance and Payroll.
Retirement:
- Be the subject matter expert regarding qualified and non-qualified retirement plans (401(k), Pension, DCP and SERP) and Health Savings Accounts (HSA). Serves as the key contact for the retirement plan vendors, actuaries, auditors, consultants and internal business partners.
- Collaborates with pension vendor to ensure timely and cost-efficient servicing for participants; act as a point of contact for escalated employee and retiree pension questions.
- Provides timely communication to plan participants.
- Supports pension and 401(k) administration including (but not limited to): non-discrimination testing, audit requests, legally required notifications, data collection and maintenance, and other compliance needs.
- Works with key stakeholders to ensure accurate and timely Payroll deductions, tax withholding, payment distributions, and reporting of various transactions for all plans.
- Ensures data integrity in the third-party administrator (TPA) systems through regularly auditing the data and evaluating the performance of system interface.
- Provides excellent customer service for inquiries regarding the plan designs, TPA account navigations, and paystubs.
- Manages relationship with TPAs, and monitors TPA system enhancements and changes to service levels.
- Works with internal and external auditors to ensure tight internal controls are followed for SOX compliance.
- Produce proxy data on an annual basis related to retirement plans.
- Provides timely ad hoc reports to Finance, Payroll or HR upon request.
- Assists Legal with the execution of quarterly blackout and timely SEC reporting for Section 16.
- Identifies and recommends process improvements.
Qualifications:
- 5+ years of experience with compensation role with hands-on responsibility for equity program execution
- 3+ years of experience in retirement plan administration; pension experience a plus
- Knowledge of IRC 409A
- Knowledge of Section 16 SEC Filing
- Experience with 10b5-1 plans and benefits programs.
- Strong analytical skills and proficiency in financial modeling.
- Knowledge of compensation-related laws and regulations.
- Strong organizational skills and attention to detail.
- Technically savvy with use of current Microsoft Office tools
- Ability to work independently in a fast-paced environment. Ability to take initiative and prioritize to effectively manage deadlines
- Experience with M&A and/or experience in a media or technology organization is a plus
- Excellent interpersonal, written and oral communication skills with a strong focus on customer service; partnering/communicating with all levels of employees and management
- Ability to identify problems and solve them through innovative solutions and sound judgment
- Ability to be flexible, adaptable and dependable in a constantly changing, fast-paced environment
