Job Summary:

Provides revenue generating support as well as in-person office support

                                                                                                    

Responsibilities

Reception – greeting/escorting clients, listeners
Screens phone calls and directs to appropriate department
Aggregates and interprets data for financial/accounting reports
Processes leadership expense reports
Maintain and trade file and tickets plus disbursements
Maintains fleet maintenance and management
Building – property, landscape, pest control, equipment maintenance
Ordering of office supplies and printing (business cards)
Set up for new hires – badges, desk set up,, supplies
Political lead, maintain public file
EEO Quarterly reporting
Supports leadership team with report generation, trackers, research and other clerical duties
Mail sorting + mailing payments to lockbox, package pick up / delivery
Weekly – update and communicate all station features and sponsorships
Ongoing – update and communicate the endorsement tracker/tool
Weekly – collect all sponsorships recap information for events and promotions for recap creation
Weekly – provide missing copy/pool reports
Weekly – send aging reports with request for update
Provide Salesforce account clean up
Maintain market’s “shared drive”
Support promotions with prize and winner fulfillment
Prepare correspondence, reports and other administrative tasks
Handles confidential matters with absolute trustworthiness; ensures interactions and transactions are ethical and convey integrity.

    Qualifications

    Competencies/Skills

    • Proficiency in Microsoft Office suite, social media platforms and search tools

    • Ability to use or quickly learn designated iHeartMedia software including commercial and digital traffic system, corporate reporting and financial systems

    • Graphic design skills and ability to use Adobe Illustrator and Photoshop a plus

    • Basic accounting knowledge a plus

    • Trustworthy when dealing with confidential and private matters

    • Professionalism: makes a good 1st impression; demonstrates respectful, friendly and welcoming behavior; exhibits speech, appearance, body language, mannerisms, and dress appropriate to the environment; maintains professional work surroundings

    • Stress tolerance: composure when faced with difficult/demanding situations and/or personalities and shifts in priorities and/or tasks

    • High degree of collaboration with all levels in the organization

    • Can work independently without close supervision

    • Excellent analytical and decision-making skills

    • Time management: uses appropriate tools to manage time; focuses on urgent and important tasks; shows strong attention to detail; meets deadlines

    • Ability to multi task in a fast-paced environment

    Work Experience

    • 1-3 years’ experience as Executive Assistant

    • Media experience preferred

    Education

    • 4-year college degree preferred
